Inventory and sales excel sheets moved to a mysql database

We are looking at moving our excel stock system to a database.

We are an online retailer of printer cartridges and our stock system is currently on Excel Spreadsheets. We sell our products on a number of different channels like Ebay Amazon etc…

We use the stock sheet to record where stock has been purchased, purchase price and where it is located in the warehouse. Each printer cartridge has its own line in the spreadsheet because they are purchased from different sources, at different prices and different quality.

Our excel sheets are as follows:

We have a sheet with all our ebay stock on, the fields are unique reference, location, model code, brand, date we checked it in, price we paid for it, where it came from, grade of product, condition of product, style of box, style of hologram if applicable, ebay listing title.

We have another sheet for our Amazon stock, which is the same but it does not have an ebay listing title, but has 3 references from Amazon (ASIN SKU and 1 other).

We have a Fulfilment by Amazon to ship sheet and this is similar to Amazon.

We have a Fulfilment by Amazon sheet and this is similar to Amazon.

We have a Fulfilment by Amazon sheet and this is similar to Amazon.

We have a Local sheet and this is similar to Amazon.

We have an Offering sheet and this is similar to Amazon.

We like to keep them separate on Excel, but I am sure we could integrate all the sheets into 1 as most of the fields are the same.

The unique references are allocated by the warehouse operatives and each one has a difference sequence of numbers.

If an ebay listing is made up of 2 printer cartridges we would have two lines in our spreadsheet but they would have the same code with a -2 at the end. We would like to change this so each item had an individual number but the titles on an ebay listing could have multiple numbers.

Location is the warehouse location.

The model code is the manufacture code and this has to be taken from a list, or a new one has to be created. Brand would also be done the same.

The date it is checked in should default to today.

The rest of the information will be done via dropdown menus which up to 4 options or text fields.

When we sell items on ebay we use the ebay listing title to find the product and the unique reference. We download a report from ebay to get this information. This then goes into an invoice spreadsheet where it is processed and creates the invoices. If possible it would be nice to get the information via the Ebay API and for the invoices to be created automatically.

When we sell an item on Amazon we use the SKU or ASIN to find the product and the unique reference. We download a report from Amazon to get this information. This then goes into a separate Amazon invoice spreadsheet where it is processed and creates the invoice. Again if possible we would like to get the information from Amazon API and for the invoices to be created automatically.

FBA is very similar to the Amazon process, but using different sheets and spreadsheets.

Local and direct sales have the information entered manually and we manually take the codes when we pick them. A sales spreadsheet creates the invoices.

Once all the invoices are created we then take the stock item and take it from the stock sheet and put it onto the sales sheet. We then marry up the sales price, enter how much it cost to post, take into account the commission with a formula and get a profit figure per item.

We would like a good front end to make it easy to enter the data and amend if necessary.

A further project will be adding a link for the stock between ebay and amazon and maybe a website.
